This Privacy Policy explains how Aero Head Soaring Club Inc. (“Aero Head Soaring Club,” “the Club,” “we,” or “us”) collects, uses, stores, and shares personal information. By joining the Club, participating in Club activities, or using our website, services, or communication platforms, you consent to the practices described here. The Club collects information necessary for membership, flight operations, safety, administration, communication, and community involvement. This may include name, contact information, address, date of birth, emergency contacts, pilot certificate details, flight logs and history, billing records, “fit to fly” statements, media such as photos or video, and basic technical data such as IP addresses. We use this information broadly for any operational, safety-related, instructional, administrative, historical, promotional, or organizational purpose. This includes managing flights and instruction, maintaining records, coordinating events, processing billing, verifying pilot credentials, maintaining safety documentation, communicating with members, improving our operations, supporting our affiliations, and preserving historical and media archives. We reserve the right to use Club-collected information in any reasonable manner necessary to operate, support, promote, or protect the Club and its activities.
We may share information with a variety of trusted third parties and affiliated organizations that assist in Club operations or have a legitimate interest in aviation activities. These include PayPal for payment processing, Squarespace for website services, Qlogger for flight logging and accounting, our instructors and Officers who access member and student information, the Soaring Society of America, the Experimental Aircraft Association (both national and Snake River Valley EAA Chapter 837), and government or aviation-related bodies such as the Federal Aviation Administration (FAA), National Transportation Safety Board (NTSB), the City of Ontario, Oregon, and the Ontario Municipal Airport when appropriate or required. We may also share information with aviation partners, regulatory bodies, insurers, event organizers, airport stakeholders, or service providers that support our administrative and operational needs. We do not sell personal data, but we reserve the right to disclose information as needed to support Club functions, comply with legal or safety obligations, or participate in aviation community activities.
Information is stored using platforms such as Google Workspace, Microsoft Office, Qlogger, Squarespace, and other secure systems required for Club operations. Access is limited to Club officers and instructors as appropriate for their roles. We take reasonable steps to safeguard member information, though no system is perfectly secure, and we cannot guarantee absolute protection. Because the Club relies on historical records for safety, training continuity, regulatory compliance, insurance requirements, and long-term operational history, we do not offer deletion of personal data. Information is retained as long as necessary for Club purposes.
The Club may collect personal information from minors participating in programs or glider instruction and handles such information with parental or guardian consent where required. We do not knowingly collect information online from children under 13 without proper authorization.
